The Adobe Workfront and Aprimo integration is a content lifecycle connector that bridges work execution and asset management. It automatically synchronizes approved creative files and metadata from Workfront projects directly into the Aprimo Digital Asset Management (DAM) library. This connection accelerates time-to-market by ensuring only brand-compliant, finalized content is available for enterprise-wide reuse and distribution.

What it Does

Marketing teams often finish creative work in Workfront and then spend time moving files into the DAM by hand. Aprimo removes that step by watching Workfront for assets that meet your readiness rules. Each approved file lands in Aprimo DAM with mapped metadata and traceability IDs. Revised versions update the existing asset record instead of creating duplicates.

How It Works

Every 10 to 15 minutes, a scheduled job checks Workfront for documents that meet two conditions. The document must carry the configured readiness indicator, and its parent project must include the Aprimo custom form. Eligible documents are processed one at a time, with metadata read, the file downloaded and a DAM record created or updated. Controlled list values must match Aprimo classifications exactly, or that field is skipped. Data flows one way from Workfront to Aprimo, with only traceability IDs returned. Task-level documents, multilevel proofing, historical backfill and deletion sync are not supported.

Key Capabilities

  • Marketing teams often finish creative work in Workfront and then spend time moving files into the DAM by hand
  • Aprimo removes that step by watching Workfront for assets that meet your readiness rules
  • Each approved file lands in Aprimo DAM with mapped metadata and traceability IDs
  • Revised versions update the existing asset record instead of creating duplicates

Common Use Cases

  • Sending final campaign creative from Workfront into Aprimo DAM as soon as it passes proof approval.
  • Updating an existing DAM asset automatically when a revised version is approved in Workfront.
  • Keeping non-Aprimo Workfront projects out of the DAM in shared Workfront environments.
  • Applying campaign, region, business unit and license metadata from Workfront project forms to DAM assets.
  • Tracing any DAM asset back to its source Workfront document using stored Document and Version IDs.

Requirements

  • Aprimo Digital Asset Management (DAM)
  • Adobe Workfront with API access
  • Aprimo custom form on Workfront projects in scope
  • Readiness trigger configured as a proof approval or custom status field
  • Single-level proofing only; Workfront proofing is supported in Production environments only
  • Project-level documents only; task-level documents are not processed
  • Workfront option lists aligned with Aprimo classification values
  • Up to 40 field mappings, defined in a mapping workbook

FAQ

What triggers an asset to move from Workfront to Aprimo DAM?
A transfer starts when a document carries the configured readiness indicator, either a proof approval decision or a custom status field value, and its project is Aprimo-scoped.

How often does the integration check Workfront?
It runs on a recurring schedule, typically every 10 to 15 minutes, and the frequency can be adjusted based on volume.

What happens when a revised file is approved?
The new file is added as a new version of the existing Aprimo asset and metadata is refreshed. Earlier versions stay in Aprimo version history.

Does metadata sync back from Aprimo to Workfront?
No. Data flows one way from Workfront to Aprimo DAM. Only traceability IDs, such as the Aprimo Content Item ID, are written back to Workfront.

Are all Workfront documents sent to the DAM?
No. Only project-level documents from projects with the Aprimo custom form are processed. Task-level documents and non-Aprimo projects are excluded.

What file types are supported?
All formats Workfront supports, including images, PDF, video, audio, and Office documents.

What happens if a Workfront value does not match an Aprimo classification?
That field is skipped and left blank while the asset is still created. Workfront option lists should be kept aligned with Aprimo classification values.
